Job Title: IT Officer.
Reports to: IT Manager.
Job Purpose: To ensure that the ICT system in the Company functions smoothly and efficiently in compliance with the organization’s strategy, policy and standards. Provide direction for ICT needs and ensure continuous and effective ICT solutions.
Duties and Responsibilities:
- Set up workstations with computers and necessary peripheral devices (routers, printers etc.)
- Server and network monitoring and maintenance: Routine check-up of server functionality through monitoring, storage space and general health of the servers to ensure maximum uptime. Protect the server and data (data security, virus scanning as per the Company’s policies and guidelines) as part of preventive maintenance routine. Ensure security and privacy of networks and computer systems. Maintain a log for server, network and general ICT problems and solve them.
- Data backup: Carry out server backup/restore (as per the Company’s policies and guidelines) – disaster recovery. Ensure offsite or cloud based backups are taken on hourly basis.
- User support: Advise users and induct new users to follow ICT polices and guidelines including roll-out and sensitization to staff on ICT User Regulations. Keep a log of users’ complaints and document support or solutions provided. Implement, enforce and maintain a proper filling structure on the server for information and file sharing within the offices.
- Monitoring hardware maintenance: Ensure preventive maintenance on ICT hardware is done thoroughly. Install and configure appropriate hardware and ensure it functions according to specifications. Check and maintain computer hardware accessories such as mouse and keyboard,
- Procurement and document the IT inventory and network: Give advice on reliable sources for various products and services as required by Company’s purchasing standards. Identify computer or network equipment shortages and place orders. Preparing hardware specifications for ICT equipment; verifying, validating and certifying ICT new equipment; Maintain an ICT inventory and update inventory list. Update network infrastructure documentation as per changes in the network. Manage the use of the Company’s laptops, desktops, cameras, cell phones and multimedia. Maintain a register for all special additional licenses and schedule any appropriate license renewals.
- Email management: Manage the email client system and ensure smooth functioning of email services on a cloud-hosted platform with the other team members. Generate requests to create new user accounts and thereafter set up and configure mail client for the user.
- ICT Strategy and Policy: Sensitize staff to changes and improvements in technology. Assist in and plan training, development and education for new software and hardware. Providing end user support and training users on effective and efficient use of ICT facilities,
- Monitoring and maintenance of other equipments: Monitor and maintain Company intercom system, CCTV cameras and printers.
- Liaise with the internet services provider to ensure the availability of internet for staff at all times.
- Evaluate emerging trends and technologies in the Company’s context and present findings, recommendations and specifications through written reports & presentations.
- Updating and maintaining the Company’s website;
- Perform any other duties as assigned by the supervisor and or management.
Requirements.
Level of Education, Professional Qualification and Experience:
- Bachelor’s Degree/Diploma in any of the following fields: Information Technology, Computer Science, Business IT, Software Engineering, Computer Engineering or other relevant and equivalent qualifications from a recognized Institution,
- Certificate of membership to a professional body from a recognized institution,
- At least three (3) years experience in a busy environment in a similar field,
- Good knowledge in software programming and application development, including mobile applications,
- Knowledge in ICT hosted solutions and cloud-based services e.g. Office 365 and other platforms,
- Excellent interpersonal, organizational, multi-tasking and time-management skills.
- Excellent communication skills both orally and in writing (English and Swahili).
- End user support experience including hardware and software experience setup, installation and troubleshooting
- Proficiency in Computer applications.
